How to open a shared calendar in Outlook 2003 and Outlook 2010

Introduction



Shared calendar is a feature in Outlook which helps users to give permissions to manage time i.e., daily meetings and appointments to their sub ordinates like personal secretaries, assistants, etc. This is usually done by the high profile candidates in an organization like AVPs, VPs, CEOs, Chairmen, Presidents, Board of Directors, etc., whose time is precious and needs to be organized and managed well to meet all the business needs.

This issue is encountered very frequently by IT Help Desk departments. It is a very common scenario and sometimes becomes difficult to fix it. This information would not only help the users but also would be useful for the technical support engineers who help their clients in such matters.

Please use the following steps to open a shared calendar and also to remove a shared calender user's name in Outlook 2003 and 2010

Outlook 2010



Step 1 - Open Outlook

Step 2 - Select Calendar

Step 3 - Select Open Calendar from the Top of the Navigation Panel.

Step 4 - To select another person's name from the address book, click Name or type the name in the Name box.

Note: Custom view settings on your calendar may not display correctly if you use the side-by-side calendars feature. To ensure that your custom view settings are displayed, right-click any calendar in the list, and then click Open on the shortcut menu. The calendar will open and close any other open calendars. The view settings for the selected calendar will be in effect and for any additional calendars subsequently viewed in the side-by-side view.

Step 5 - To remove a name from the Other Calendars, Other Contacts, or Other Tasks lists, right-click the name, and then click Remove from Other (Calendars, Contacts, or Tasks).

Outlook 2003



Step 1 - Open Outlook

Step 2 - Select Calendar

Step 3 - Right Click on Calendar and Scroll down to the Bottom of the pane, and there is a link titled "Open a Shared Calendar"

Step 4 - To select another person's name from the address book, click Name or type the name in the Name box.

Step 5 - The new calendar will appear to the side of any calendar already in the view.

Note: Custom view settings on your calendar may not display correctly if you use the side-by-side calendars feature. To ensure that your custom view settings are displayed, right-click any calendar in the list, and then click Open on the shortcut menu. The calendar will open and close any other open calendars. The view settings for the selected calendar will be in effect and for any additional calendars subsequently viewed in the side-by-side view.
