How to update Global Address Book in Outlook 2003 and 2010?


In this article, I have given the simple steps to update the global address book manually in outlook 2003 and 2010 versions where the issue occurs when the users can't search the email IDs of their co-workers.

Introduction



Global Address Book is nothing but the database of the email IDs of all the employees working in an organization.

Global Address Book is one of the features of Outlook (an e-mail client), which helps the users or employees for easy search of the email IDs of their co-employees. However, sometimes the global address book is not updated due to latency on the exchange servers. In this scenario, it becomes mandatory to update it manually in your outlook. This happens very often whenever new employees join the organization and their e-mail IDs are newly created. These IDs do not sync with the existing mailboxes of the employees and their global address book on the exchange servers due to latencies or sometimes they take time for replication on the server to reflect in the outlook after being created and updated in Active Directory.

Under all the above circumstances, the best solution is to update the address book in the outlook manually. This has also been considered as one of the most common issues faced by the professionals in Help-desk department. So, I have tried to frame very simple steps to update the global address book manually in the outlook 2003 and 2010. This would also serve as self help for the users looking for the solution to the issue.

For Outlook 2003:

1. Click on the Tools in the menu of Outlook

2. Select the send/receive in the drop down menu.

3. Click on the Download Address Book in the sub menu.

4. Then click OK.

Note: Make sure the Full details radio button is selected under information download

5. Wait for Outlook to download the Address Book

Note: We can confirm whether the download is complete or not by checking the status at the right bottom corner of Outlook window.

For Outlook 2010:

1. Click on the File tab on ribbon of Outlook.

2. Click on Info on the left hand side of the menu.

3. Click on the Account Settings button.

4. Select the Download Address Book option from the drop-down menu.

5. Click OK.

Note: Make sure the Full details radio button is selected under information download.

6. Wait for the Outlook to download the Address Book

Note: We can confirm that the download is complete by checking the status at the right bottom corner of Outlook window.
